Event Planning and Event Promotion

Event planning is the process of planning events. Event planners handle the totality of the event and event planning focuses on all elements of the event details. Event production, event promotion, catering, selecting the event venue, are just some of the things that event planners are responsible for. If you are an event planner, you most probably have your own techniques and strategies for planning an event. If you are new at this, there are various tips for you to consider.

Event Promotion

Date selection can vary and although most of the time it is important to make sure that there are not other similar events being held on the same date, it can sometimes work towards your advantage. For example, multiple events that surround a similar theme are held each year during Art Basel Miami Beach with much success.

To start with, you should know your audience very well. When planning an event it is important to determine you’re a target audience. Once you know who you target audience is you can begin to put together your event marketing strategy.  This step is crucial to knowing how to promote your event in order to sell tickets and to get those bodies in the door!

You should create a list with all of the elements required for planning your event. Spend some time to take down notes with regards to the requirements of your event space, the date and time of event, stage lighting, sound, catering, and security to make sure you are not leaving anything out. Make a first draft as soon as possible and as things go along be sure to update your list accordingly.

It is essential to identify a clear goal for your event and sculpt the event around this objective. Is it a launch party to create awareness about a new product or business? Is it a fund raising gala to raise money for a particular charity or cause? Is it a concert to support a new album release or musical act that has just arrived on the scene? It is hard to determine the success of an event if you don’t know the goal. Be SMART when it comes to goal-making. Make sure that your goals are Specific, Measurable, Attainable, Realistic and Time-bound.

Avoid event wars. What does this mean? You have to know whether there are other popular events in line with yours. This means that you should try to avoid dates where other industry events are being held.  In some cases this may work, such as Art Basel Miami Beach when many similar events can be on the same date. However, generally it is better idea to avoid planning your event on the same date as others events that you may share an audience with.

Be open for change. Nothing is perfect in event planning. That is why, you have to be flexible. Make sure that you explore plenty of options when it comes to the event venue, date and time and other event elements that are subject to change.

Furthermore, have a good marketing strategy for the event. Traditional event marketing tools such as flyers, print ads or TV ads are a great start, however be sure to implement some of more current event marketing tools such as social media and experiential marketing techniques.

Knowing what your audience wants in order to get their attention is crucial when coming up with an effective marketing strategy for you event.  Now, once you have their attention, then, it’s time for you to make your great move in advertising. Sell or promote your event wisely! Happy Event Planning!

Event Planning Tips

Event planning involves the overall meticulous planning of an event. Whether you are planning for corporate events, music festivals, a wedding or a launch party, you will need to take care of a lot of details. Event planning involves logistics and personnel management. An event planner will need to delegate most of the duties and restrict himself to the role of overall overseer. An event planner takes a bird’s view of all the inter-related activities that make an event successful. Event planning involves taking care of the following details.

Event Planning

Each year event planners around the globe gear up for one the world’s largest art shows, Art Basel Miami Beach, making it one of the busiest times of the year for event planning in Miami.

Budgeting

Before even starting to plan an event, you need to know what amount of money you have to produce the event. A budget will inform all the other things such as the venue, catering, sound and lighting and other elements of the event. A strict adherence to the proposed budget is the role of the event planner. Event planning is a capital and labor extensive affair, but with a good manager at the helm, the event will go on without a lot of hiccups.

Event Venue

Another important aspect of event planning is venue selection. An event venue should be selected by considering factors such as nature of the event, the budget allocated and the number of people invited and expected as well as the venue location. You cannot host a sporting competition in a hotel, unless the sporting event is supposed to be done indoors. Similarly, a political rally is best hosted in a stadium due to the large number of people expected to attend.

Permits

Event planning may involve logistics such as security and healthcare which are primarily provided by the government. Permits such as liquor licenses, insurance and gathering permit must be obtained before the commencement of the event. This duty should be assigned to one of the members of the event planning committee.

Event Theme

Why is the event being held? What are the discussions to be done? Any event planning committee should have a theme for the event. Themes like ‘A Future Free of HIV Aids’ can resonate well with the guests of a health convention than a situation that assumes that the guests know why they are attending. The event planners should always come up with a catchy theme, which will stay with those that attend the event years after the event has ended. Make the event memorable.

Event Logistics

In any event planning committee, there should be a logistics sub-committee. This sub-committees deal with issues such as transport, security, medical care, catering and hospitality, venue cleaning, public address system and many more. Without a good logistics committee, the event is most likely to be disorganized. You never want a disorganized event especially where there are large crowds. Remember, the buck stops with the event planning manager.

Art Basel 2013 - Start planning now!

Each year during the 1st week of December, Miami is the epicenter of the modern and contemporary art world. During those four days in 2013, Art Basel Miami will return to town, bringing with it an estimated 50,000 collectors, artists and gallery owners from around the globe to celebrate creativity and stunning innovation in the Wynwood District and beyond.

If your goal is to participate in this exciting art show, then now is the time to start looking for event locations in Miami for your function. Most event space in Miami is booked up many months in advance of Art Basel, so it is important to lock down a space as soon as you know the date that you want to hold your event.

Booking early will also allow you to choose from the best event locations in Miami versus having to settle for what is left. By far one of the best locations for an Art Basel Miami event is Soho Studios, which is located in the city's vibrant and exciting Wynwood Art District. Soho Studios is a huge, 70,000-square-foot building with high ceilings and flexible floor plans that can be configured to meet the specific needs of your function and is perfect for any Art Basel Wynwood event.

Soho Studios has hosted other Art Basel events in the past, including two of the world’s largest contemporary art fairs, PULSE Miami and SCOPE Miami. While this huge facility with its industrial detailing is a perfect showcase for big art fairs, it is also a multi-use site that can work for many different events, including concerts, seminars, meetings and parties. Soho Studios can also be used as a photography, television and film studio. Many have used Soho as a space to create videos and other media for Art Basel events.

Every year, Art Basel Miami grows bigger and bigger and adequate space for events becomes harder to come by. Art Basel Miami 2013 should be no different. That is why smart event planners will begin making plans early and booking event space Miami as soon as possible for their Art Basel events.

How to top last years event

Your event has ended, and the feedback has been overwhelmingly positive. In fact, everyone is raving about what a hit it was. At first, you're extremely excited that everyone enjoyed themselves, but then reality starts to sink in.

How in the world are you going to top this event next year?

Get Feedback

While your event may have been a smash, there are almost always ways you can improve on it. To figure out the best ways to make your event production even better, solicit feedback from attendees, employees and vendors to find out if they had heard or noticed areas that needed improvement. Maybe, the lines to get in your event were backed up because you didn't have enough people taking tickets or a concession stand was located in a low traffic area so it didn't earn the income you had expected. Learn from these mistakes and make adjustments and improvements accordingly.

Publicity

If attendance at your function was lower than you expected, your event strategy for next year should include ways to increase your visibility with the public. One of the most effective and inexpensive ways to generate buzz about your event is to utilize social media sites, such as Twitter and Facebook. Fortunately, actively publicizing your event on these two sites shouldn't add any more cost to your event planning budget.

You might also want to consider partnering with a coupon site, such as Groupon or Living Social. These sites will not only help you to generate more interest for your event, but they can also be an effective way to help you sell more tickets.

Choose an Exciting New Venue

If you've been throwing your event in the same old hotel ballroom year after year, isn't it about time that you move your event to a venue with more atmosphere, such as Miami's Soho Studios. Located in the vibrant Wynwood Art District, this 65,000-square-foot structure with its industrial detailing can add an edgy, modern look and feel to your event.

Surprise!

Everyone loves surprises and great ones can really make an event memorable. If you, for instance, hire a special guest for your festivities, you may want to conceal his identity until the day of your event. This could create great buzz and interest in your event as everyone tries to guess who your special guest may be.

Building the Miami Art Scene

It is impossible to find a nonprofit organization that has had a greater impact on the Miami art scene than the Knight Foundation. It has donated a total of $86 million over a six-year period to provide funding to several key arts institutions and offer support to local artists looking to enrich Miami's culture.

One area where the Knight Foundation has had significant impact is in the Wynwood District. The Knight Arts Challenge led to the creation of an incubator for various Arts groups in 2009. It was opened inside the Light Box at Goldman Warehouse. Local arts groups were given performance space, gallery space and a shared office.

The Knight Foundation has helped foster the transformation of the Wynwood District into a hub for the arts. This personified with the presence of Art Basel Miami Beach, which uses the Wynwood District as one of its venues to showcase hundreds of works of arts to tens of thousands of visitors from around the globe. Benefiting from the presence of Art Basel Wynwood has become a must-see destination for art lovers everywhere.

One of the most recent developments will be the addition of more than a dozen artist-designed crosswalks to the Wynwood District. The first crosswalk, designed by Venezuelan artist Carlos Cruz-Diez, will be installed in front of the Wynwood Walls. 15 crosswalks are planned and each one will showcase original artwork from Miami-area artists. This is one more step in transforming a former industrial area into a pedestrian-centric neighborhood.

The Knight Foundation has played a major role in making all of these developments possible. It first demonstrated a serious commitment to supporting the Miami Arts with a generous $20 million donation in 2008 to fund endowments at the Miami Art Museum, the Museum of Contemporary Art and the New World Symphony.

The Knight Foundation’s support also continues through the annual Knight Arts Challenge contest, which provides funds to the best ideas designed to enhance the arts in Miami and South Florida. This challenge has helped spur many of the positive developments for the art community in Wynwood and will continue to influence it in the near future.

Art Basel Venue in Miami

While the month of March may be a popular month for Miami Fashion week and Winter Music Conference it just doesn't seem to have the same effect as Art Basel Miami in December. Not only is Miami Beach packed with art buyers and visitors during the first week of December but so too in Wynwood and Midtown. There seems to be wave of change that Wynwood is about to embrace. Art shows such as Scope, Art Miami, Art Asia and Red Dot have had successful years in Midtown with enormous tents that house huge generators, lights and 60,000 sq ft of ply wood that lay across the floor. However Wall Mart is about to break-ground in the coming months once they get over a few hurdles.

With Wall Mart breaking ground in Midtown this year these Art Basel Miami shows will now have to think seriously about their next location. It seems obvious that Wynwood is the right choice for these shows. The vacant land in Midtown was a great short-term fix for these shows, however the time has come to think of different venues for Art Basel Miami.

Wynwood is the last district of Miami to be developed and this is what makes the area so attractive to investors. You get to be a part of the art movement and be apart of the Wynwood legacy. Wynwood has come leaps and bounds in the last two years. Real Estate prices are back to where they were in 2008 and WADA receives record memberships from new businesses that have opened up in the area. Art Walk also gives a tremendous boost to Wynwood. Art Walk takes place in Wynwood during the Second Saturdays, drawing in thousands of visitors including celebrities like Leonardo DiCaprio that have been spotted recently walking through the Wynood Walls

It is clear that Wynwood is the best location in Miami for Art Basel Miami shows. Art Basel Miami shows in Midtown will have no choice but to migrate south to Wynwood. With this in mind Soho Studios prepared a map back in 2012 showcasing several locations of Art Shows that took place in Wynwood and Midtown. Soho Studios realized the importance of this discovery so that other businesses such as art galleries, artisits, and brand marketing companies can understand the district and possible venues for their Art Basel shows.

Take a look at JUSTMADMIA's Art Basel Miami show at our venue in 2012.

As the largest venue in Miami for Art Basel Miami shows, Soho Studios does't just host shows or events for Art Basel Miami but they also secure other venues in Miami for art galleries and brand marketing firms. With the right connections Soho Studios has established an amazing network in Miami so that others can discover new venues for their events and shows during Art Basel Miami.

Art Deco in Film

In 1979, the National Register of Historic Places crowned Miami Beach's Art Deco District a Historical Place in America. The Art Deco in Miami is composed of structures built between 1923 and 1943 and is the world’s largest collection of Art Deco architecture. Ideal outdoor locations and all-year available highways make Miami a Mecca for action movies and a good car chase, such as “Casino Royale” and “Bad Boys.” These movies helped to show the true beauty of Miami and the treasure of the Art Deco District of South Beach.

One company that has been instrumental in bringing film and television production to the Miami area is Soho Studios. Soho Studios is the premier resource for all production needs. Soho Studios is a large scale multi-purpose event space and convention center in the Wynwood District of Miami. Miami is an international hot spot for production and Soho Studios is the go-to company for film production in Miami. Soho Studios has film & television studios available, and the 65K square foot facility is air conditioned which is essential in the tropical climate. Miami’s full of eclectic outdoor locations for film and television, and the Art Deco Architecture of South Beach is just one of them. For an indoor location that will showcase your work and help with all your production needs Soho Studios is Miami’s premier film and television studio.

Japanese Pop Art Shows

There are plenty of art galleries in Miami, but none fit the description of "cute" quite as well as Kawaii Universe in the Wynwood District does. This studio and shop is modeled after the Japanese pop art form Kawaii, which literally means cute in the Japanese language.

What began as a phenomenon in Japan during the late 1970s and early 1980s quickly made its way overseas to the United States, where many American children found the cute culture in Japan to be appealing. The owner of Kawaii Universe found that most Kawaii art was only found online in the United States, so she wanted to bring that art to life in a brick-and-mortar studio.

Since opening Kawaii Universe, just down the street from Soho Studios in 2011, Kawaii pop art in all its colored and cuteness has become quite popular, and is a focal point during many Art Basel Miami Beach events. As the trend continues to catch on, more and more people are getting involved in Kawaii pop art and are interested in working on their own cute pieces.

The Art Basel Miami Beach is one of the most well known Miami events, and it happens each year during the month of December. For those who are interested in displaying their own Kawaii art pieces, Soho Studios is a perfect studio space option for you. This venue is unique and versatile, and is home to many different artistic endeavors. But during this special event, Soho Studios works best as an art studio space and gallery during one of the best art shows Miami has to offer.

Whether you have been into the cute art scene for decades now, or you are just getting started on your first Kawaii work of art, consider displaying your work during Art Basel Miami Beach at Soho Studios. It's the perfect gallery space, and is well complemented by the nearby cute gallery of Kawaii Universe. You'll be in good company with plenty of other Kawaii pop art fanatics who are equally passionate about the colorful, joyful artwork.
